Minutes of the Annual General Meeting
held on 27th May 2021
Present
Eight people attended the AGM: Alan Cadman, Maureen Shouksmith, Paul Armstrong, Andrew Craig, Sue Thorpe, Liz Winter, Jutta Braun, Sue Armstrong.
The meeting was held in the main hall with attendees wearing masks and seated two metres apart.

Alan welcomed everyone to the meeting.
Minutes of the AGM held on 1st October 2020
The minutes had been circulated and there were no objections. Liz Winter proposed and Maureen Shouksmith seconded that the minutes be accepted as a true record of the meeting. All in favour. The Chairman signed the minutes.
Matters Arising
There were no matters arising from the last AGM minutes. (Some matters arising from the follow-on 1st October Trustee Meeting were reviewed at this point, but are reported in the Trustee Meeting minutes rather than here).
Managing Trustees’ Report
Alan’s report had been circulated in advance of the meeting, so he did not read it out in full. Alan noted that it had of course been a very strange year due to COVID. He thanked Sue & Cheryl for their hard work keeping up with the ever changing rules and cleaning protocols. The hall had managed to stay open for essential training courses run by Cygnet. The outdoor markets had also been a welcome respite from lockdown, which will hopefully continue in some form. Thanks to government COVID grants, our financial reserves have been minimally affected so far, and the latest COVID re-start grant should assist in the recovery process for hall usage by our local hirers.
Alan apologised for continued delay in finalising some corrections to the new Shop and Pre-School leases, and in completing a professional risk assessment of the car park. A bout of COVID, followed by a fall and broken shoulder, had conspired to slow things down; but both are now in hand and being chased.
Some renewal of carpets and flooring, plus general redecoration, had been completed in December 2020, taking advantage of the reduced hiring rates to minimise disruption.
Sue has been sounding out our regular hirers and there are signs of a gradual return towards normality during the summer and autumn ahead.

Treasurer’s Report
Maureen’s report had been circulated in advance of the meeting. She noted what a strange year it had been, where we have effectively been kept afloat by government grants compensating for our much reduced hire income. A total of £20, 526 had been received in COVID grants during the year.
Alan noted that whilst the year end accounts showed a nominal profit of roughly £8k, these figures included approximately £8k of income that represented late payment of outstanding Danshell hiring invoices from previous financial years. Our true trading position for 2020/21 is therefore one of break-even (still a very creditable outcome in the circumstances!)
Maureen noted that some reconciliation queries had been raised about the 2019/20 accounts, which would be addressed with George Pearce prior to commencement of any work on the 2020/21 accounts.
Election of Members
The Secretary informed the meeting that no nominations had been received for any elected position on the Management Committee. The current members were willing to continue and the meeting was unanimous in re-electing Alan Cadman, Maureen Shouksmith and Paul Armstrong.
Community Council Appointed Representatives
The secretary had written to everyone to ask for their appointed representative for 2021/22.
There are four changes to report as follows:
- Martin Bottwood is the new Parish Council representative
- Sallie West is the new Pre-School representative
- Andrew Craig is standing down effective 28th May 2021: a replacement will be announced after the next Shop Meeting on 15th June
- Marlena Lipski is standing down and will not be replaced owing to the winding down of the Patchwork Pals club

Liz Schofield had advised the secretary by email that she was prepared to be co-opted once again to the Management Committee. The meeting was unanimous in co-opting Liz for the year ahead.
Any Other Business
On behalf of herself and Cheryl, Sue Armstrong thanked all the Trustees for their support during last year and their ongoing support during the COVID pandemic. Alan and Liz reciprocated with thanks to Sue & Cheryl for their hard work keeping up with the COVID rules.
This concluded business and the Chairman declared the meeting closed at
8.00 pm.
